Telford and Wrekin is a unitary council in the West Midlands that liaises closely with a number of health and social care organisations.

The council is responsible for the security of information it transmits, making a secure information exchange system highly critical to council operations.

Telford and Wrekin’s initial objective was to communicate electronically and securely with a number of social service organisations, including care homes, child care and foster services. They anticipated extending these capabilities to other partner agencies at a later date.

The council had implemented Microsoft SharePoint across the organisation, and were inclined towards a SharePoint solution for this requirement.

Working closely with the council’s internal IT team, Core began the development of the SharePoint extranet solution to resolve almost all of the issues that Telford and Wrekin was facing.

The risk of confidential content being emailed to the wrong people or accessed by unauthorised personnel was reduced, logged in users could only see documents that they were authorised to, and documents held in the library could be ‘time-stamped’, making them inaccessible after a specified period.

Core also provided an SQL database so that users could select recipients via a drop-down menu, further reducing the risk of sending sensitive information to the wrong recipient and allowing key data to be shared in a secure way. It also reduced the pressure on the council’s IT department to manage and maintain email address lists.

Telford and Wrekin Council wanted to be able to communicate securely with external organisations, and thanks to SharePoint extranet this is now possible.

Information previously exchanged by registered mail or delivered by hand is now available via the secure extranet, saving time, reducing costs and ensuring the council maintains compliance whilst efficiently managing and controlling the dissemination of information.
